Pharmacy Business Renewal 2012

ATTENTION LICENSE, REGISTRATION OR CERTIFICATE HOLDER:  YOU ARE RESPONSIBLE FOR KNOWING THE REGULATIONS RELATED TO YOUR PROFESSION.  PLEASE READ ALL OF THE INFORMATION SUMMARIZED BELOW.

When your renewal period opens you will receive a yellow RENEWAL NOTICE POSTCARD that will direct you to this site.  There is no personal information on this postcard (other than your name, address and license number). If you have accessed this page before receipt of the postcard and renewed your license then you may disregard that notice.

Pharmacy Business registrations expire on October 31, 2012 and it is now time to renew your license to keep it in a current status until October 31, 2014. To renew your license, please follow the below step-by-step instructions:

1. BE PREPARED Gather needed documents or information, and set aside at least a half hour of fairly relaxed and uninterrupted time to focus on your renewal. After reading all the steps detailed below, click on the link at the bottom of this page entitled "Click here to go directly to online renewal." It is a good idea to print this page and use it as a reference while you are renewing your license.

2 . Online Services — our new Online Services system was implemented July, 1, 2012 and all users must register a new account. From this account, you can update your contact information, obtain information about your license and finish the renewal of your license.

• Click "Register" at www.colorado.gov/dora/licensing/Default.aspx to create your new online account.

• You will select "Business" in the Register As section and "Yes" in the section asking if you are currently licensed with the Division of Professions and Occupations. Then click the "Next" button.

• You will be asked to enter your Federal Tax ID number (Tax ID/FEIN) and License Number (only the numeric value omitting the alpha prefix and leading zeroes then click "Finish". On the next page your User ID field will be populated with the User ID that is assigned to you. Please write down this User ID for use in the future.

• Next, create a password, answer security questions, enter the security code provided and click "Create Account." You may select from the optional questions provided in the dropdown that will best suit your memory. These questions are used in the event that you forget your password in the future.

NOTE: Unfortunately at this time you will be unable to renew multiple facilities with one payment online as you have in the past. The Division is working on a solution to this issue and hopes to it resolve as quickly as possible. If you need to renew multiple facilities with one payment, please contact us at dora_dpo_onlinelicenses@state.co.us or 303-894-2421 and we will send you manual renewal notices so you may pay with one check.

3 . Verify Email Address — to complete the registration of your account, you may have to verify your email address.

• Once you registered, click on "Generate Email,", an email will be sent to the email address shown on the screen. Only click this button once. Multiple clicks will invalidate each previous email sent to you and you will have to click the link in the most recent email.

• Go to your personal email account, open the email that was just sent to you from our system, it will come from NoReply@dora.state.co.us (be sure and check your spam folder).

• Open the email you just received and click on the address link in the email (or copy and paste it into your address bar/web browser). This will take you back to our system which will validate your email.

4 . Complete Credential Renewal — On the left side, click on "Complete License Renewal."

• Click on "Start" by the appropriate license type. Read the attestation (Wholesaler Out-of-State ONLY). You will agree that you have read and understand the attestation by clicking "Next" at the bottom. For all other license types, please move to the next bullet below.

• When you have completed all renewal steps, click on "Add to Invoice" at the bottom of the screen.

5 . Pay Invoice—after you have completed the renewal steps for all license types and added each license type to be renewed to the invoice, you will be able to pay for your renewal. At this point, two red buttons "Pay Invoice" and "Print Invoice" will appear on the right side of the screen.

• Click on the "Pay Invoice" button. (If you want a copy of your invoice, click on "Print Invoice" before you click proceed to pay. You will also have an opportunity later to print or send an email receipt to yourself.)

6. You will pay for your renewal using our secure payment system. You must pay by Credit Card (Visa, Master Card, Discover, American Express), by Debit Card (as long as it bears the Visa or Master Card logo) or by Electronic Check (eCheck) by using your bank routing number and checking account number.

7. After entering your credit card/eCheck information and clicking "Continue" you will enter the appropriate billing information. IF YOU ENTER AN EMAIL ADDRESS, YOU WILL BE SENT AN EMAIL RECEIPT OF YOUR TRANSACTION. Make sure to complete all required fields and click "Continue." Note: The required fields are designated by a blue line.

8. You will then be able to review/verify your payment information on the following screen. If you need to make any changes/updates you can click the "edit" button in the corresponding section. If all information is correct, click the "Agree/Continue" button at the bottom of the page to complete the transaction.

9. Once complete, you will see a confirmation page. You can print this page for your records. If you entered your email address in the payment billing section, you will receive a receipt by email (be sure that the email address, support@www.colorado.gov, is added to your approved senders list to receive email confirmation; also check your spam folders). This will complete your transaction.

10. You will receive your renewed wallet license card by mail within approximately 7-10 days. To verify your new expiration date, you can select the "My User Information" tab.

Registration Renewal Fees:

Renewal fees have increased since the last Pharmacy Business Renewal. As you may know, the renewal fee is evaluated each year and set to meet the budgetary needs of the program; however, it is difficult to predict if costs of regulation will decrease or increase in the future. Renewal fees help offset the operational expenses of the program and is an integral part of our commitment to work diligently to provide consumer protection.

  • If renewed on or before October 31, 2012:
    • The Active Limited License renewal fee is: $57
    • The Active Manufacturer renewal fee is: $403
    • The Active Other Outlet renewal fee is: $151
    • The Active Prescription Drug Outlet - In State renewal fee is: $403
    • The Active Prescription Drug Outlet - Out of State renewal fee is: $403
    • The Active Wholesaler - In State renewal fee is: $403
    • The Active Wholesaler - Out of State renewal fee is: $403
  • If renewed on or after November 1, 2012, a $15 delinquency charge is applied and the totals are:
    • The Active Limited License renewal fee is: $72
    • The Active Manufacturer renewal fee is: $418
    • The Active Other Outlet renewal fee is: $166
    • The Active Prescription Drug Outlet - In State renewal fee is: $418
    • The Active Prescription Drug Outlet - Out of State renewal fee is: $418
    • The Active Wholesaler - In State renewal fee is: $418
    • The Active Wholesaler - Out of State renewal fee is: $418
  • After December 31, 2012, your registration will be expired and you must reinstate.

All fees are Non-Refundable. The Division of Professions and Occupations cannot and will not take payment information over the phone. We will not request credit card numbers or checking account numbers via telephone. You will only be able to pay for your renewal online, in person at our office or by mail with the necessary renewal packet. To protect your information DO NOT provide any credit card or checking account numbers over the phone to an unknown source.

Active Wholesaler - Out of State: By submitting your renewal of your Active registration online, you attest under penalty of perjury that the facility holds an Active license issued by its state of residence.

Your license is now available for renewal and there is a 60-day grace period after the deadline. So that means you typically have a timeframe of 16 weeks within which to renew your registration.

Any registration not renewed prior to the end of the grace period will be considered expired. Once a license is in a Expired status, a reinstatement application must be completed and returned to our office with the appropriate fee listed on the form

If you do not renew your registration prior to the end of the grace period and continue to practice, you will be practicing on an Expired registration and may be subject to disciplinary action. The Division sees a number of situations every year of business who have failed to renew on time and practiced without a registration. The reasons that are offered boil down to some common themes: We forgot; We moved and forgot to notify the Board so we never got a renewal notice; We thought that our assistant/secretary/co-worker, et cetera, handled it... The result is that depending on how long it takes for the business to "remember" to renew, the Division often takes disciplinary action against the business because it is against the law to practice without an active registration.

So, here is where we need your help, and the steps are 1-2-3 easy!

1. Once you have finished reading this page, click on the link below to renew your registration.

2. Note the expiration date in your calendar to remind yourself of when it is time to renew your license the next time.

3. Make sure that your address listed on your record is accurate. If it is not, then update your address with the Division. Remember to update your address anytime that you move so that you do not miss out on any important notices from the Division. Information on how to update your address with the Division is listed below.

Remember, it is each registrants responsibility to renew their registration on time. With our online system, you can handle all of this yourself, any time, day or night.

It is imperative that you keep your contact information updated with the Division. The Division mails renewal notices and other information to you at the last address furnished to us. Failure to receive a renewal notice does not relieve you of your obligation to timely renew.

Once you have logged into Registrations Online Services, check your mailing address and confirm its accuracy. If it is incorrect you can obtain the appropriate Pharmacy Business Address Change application by visiting the Professionals page of the Pharmacy Board here. Select the link that applies to your particular business, print, complete and return the application with the appropriate fee to our office. If you received your renewal notice due to a forwarding order it is important that you change your address on file with us, since we cannot change the information based on the forwarding order.

Email address updates can be completed online while renewing. You may complete this by clicking the "Update Email" button once logged into your account.
